Job Title Office Coordinator Location:Southern Spain, Malaga Description Office Coordinator The Office Coordinator will help in the organization and function of a fast paced, multi-tasking, growing work environment. Specifically, the Office Coordinator will help ensure that the daily office operations run efficiently and smoothly.
Responsibilities: Greet and respond to visitors in a courteous and professional manner Answer all incoming phone calls and direct inquiries to the appropriate person Issue and maintain photo id and access cards as well as keeping an inventory list for all photos Assist with mail duties including shipping, receiving, sending, sorting, and distributing packages Pick up mail at post office when needed Assist with building management issues and respond to vendors in a professional manner Create and deliver correspondence to vendors Draft office document and correspondence Maintain and protect operations by keeping information confidential Maintain the employee directory on the company Intranet Order office material and maintain inventory Maintain kitchen and office appearance Assist with employee events Assist with travel planning and purchasing Scheduling meetings and writing and distributing meeting minutes Monitoring vacation and sick days for the team (liaising with Payroll) Other administrative duties and projects as required
Requirements 2 -3 years of office administration/reception experience Post-secondary education or related training and equivalent experience an asset Ability to adapt and provide support in a fast-paced, customer-focused environment Billingual in Spanish / English - ESSENTIAL...!! Excellent written and verbal communication skills Advanced knowledge of Microsoft applications Self-motivated, resourceful, and to work with minimal supervision Flexible and team-oriented Internet aware, able to perform online research and to update simple intranet sites.
